Supplier Code of Conduct
Lowe Rental Corporation, comprising the brands Lowe Rental, Rental+, PKL, Lotsenbüro and Abbey Design Associates (the “Group”) is committed to responsible and sustainable business practices. Headquartered in the United Kingdom, we operate internationally and expect the same high standards wherever business is conducted.
As part of this commitment, the Group works with suppliers, affiliates, and subcontractors (“Suppliers”) who share these values. This Supplier Code of Conduct sets out minimum expectations regarding ethical business practices, environmental responsibility, workplace rights and legal compliance.
Suppliers are expected to communicate and cascade these principles throughout their own operations and supply chains, including to subcontractors. Continuous improvement, transparency, and collaboration are essential to maintaining a trusted business relationship.
1. Compliance with Laws and Regulations
Suppliers must comply with all applicable laws and regulations in every country where they operate and where goods or services are provided to the Group. This includes (without limitation) relevant UK laws and any laws with extraterritorial effect that apply to the Supplier’s activities. Key areas where applicable laws must be strictly adhered to include but are not limited to:
•Labour, employment and human rights laws (for example, the UK Equality Act 2010 and the UK Modern Slavery Act 2015)
•Occupational health and safety laws and recognised industry standards
•Environmental laws and permit requirements (including waste, emissions, chemicals and pollution controls)
•Competition/antitrust, trade compliance, export controls and economic sanctions laws
•Anti-bribery, anti-corruption, fraud and other financial crime laws (for example, the UK Bribery Act 2010 and the UK Criminal Finances Act 2017)
•Data protection, privacy and information security laws and regulatory requirements (for example, the UK GDPR and Data Protection Act 2018)
Suppliers must maintain appropriate compliance systems (including policies, training, recordkeeping and due diligence on relevant third parties) and evidence those systems to the Group on reasonable request.
2. Health, Safety and Wellbeing
Suppliers shall provide a safe and healthy working environment by:
•Complying with applicable health and safety laws and recognised industry standards (for example, where applicable, the UK Health and Safety at Work etc. Act 1974)
•Implementing hazard controls and safe work practices
•Ensuring reasonable working hours and rest breaks
•Providing access to clean drinking water, sanitation and emergency facilities
•Providing health and safety training in languages workers understand
Significant incidents (including serious injuries, fatalities, major near-misses, or material environmental incidents) that could affect the Group, its people or customers must be promptly reported to the Group contact responsible for the Supplier relationship.
3. Human Rights and Labour Practices
Suppliers shall uphold internationally recognised human rights and labour standards, including:
•Forced or compulsory labour: prohibited in all forms
•Child labour: prohibited in all forms; no person under the legal minimum working age may be employed, and no person under 18 may perform hazardous work
•Fair employment: written terms of employment (where required), lawful wages, overtime and benefits in accordance with applicable local laws
•Freedom of association: employees may join trade unions or engage in collective bargaining without retaliation
•Modern slavery and human trafficking: prohibited in all forms; recruitment fees must not be charged to workers; identity documents must not be retained (except where required by law and with worker consent); freedom of movement must not be unlawfully restricted
4. Ethical Business Conduct
Suppliers must act with integrity and in accordance with ethical business practices:
•No bribery, facilitation payments or corruption
•No improper gifts or hospitality intended to influence business decisions
•Conflicts of interest must be disclosed promptly
Suppliers must disclose any actual or potential conflicts of interest that may affect, or appear to affect, their business relationship with the Group.
5. Environmental Responsibility
Suppliers are expected to:
•Comply with applicable environmental laws and recognised international environmental standards (for example, where applicable, the UK Environmental Protection Act 1990 and UK waste duty of care requirements)
•Minimise emissions, waste, and the use of hazardous substances
•Promote resource efficiency, recycling and circular economy practices
•Maintain environmental management systems aligned with ISO 14001 where applicable
•Provide environmental data upon request
6. Product Safety and Quality
Suppliers shall ensure that products and services:
•Comply with applicable safety standards and product safety laws (for example, where applicable, the UK Consumer Protection Act 1987)
•Meet contractual quality and safety specifications
•Are designed for durability, reuse and end-of-life recovery
•Include clear documentation for safe use, handling and disposal
Suppliers must report safety concerns or product recalls promptly.
7. Data Protection and Confidentiality
Suppliers must:
•Protect confidential information and intellectual property
•Comply with applicable data protection and privacy laws (including, where applicable, UK GDPR and EU GDPR) and implement appropriate technical and organisational security measures
•Report any actual or suspected personal data breach or security incident affecting the Group’s data immediately (and in any event within 24 hours) to the Group contact responsible for the Supplier relationship
8. Diversity, Equity, and Inclusion
Suppliers shall:
•Promote a workplace free from discrimination, harassment, and retaliation
•Ensure equal opportunities and comply with applicable anti-discrimination laws, and do not discriminate on any status protected by local law
9. Responsible Supply Chain Management
Suppliers must:
•Communicate and enforce equivalent ethical, environmental and social standards throughout their own supply chains
•Monitor and address risks associated with subcontractors and tiered suppliers
10. Business Continuity and Risk Management
Suppliers shall:
•Maintain and test business continuity and disaster recovery plans
•Identify and manage operational, environmental, cyber and supply-chain risks that could impact delivery of goods or services to the Group
11. Accurate Records and Transparency
Suppliers must maintain:
•Accurate financial, operational, and environmental records
•Accurate tax, customs and regulatory filings as required by applicable law
12. Audits and Corrective Actions
Suppliers shall:
•Cooperate fully with audits or assessments conducted by Lowe Rental Corporation
•Take timely corrective action where non-compliance is identified
•Understand that persistent non-compliance may result in suspension or termination of the business relationship
13. Reporting Concerns
Suppliers must:
•Report suspected misconduct or breaches of this Code of Conduct promptly
•Ensure that employees can raise concerns without fear of retaliation
By accepting an order for goods or services from the Group, Suppliers confirm that they will comply with this Supplier Code of Conduct (as updated from time to time). Where requested, Suppliers will certify compliance in writing and will promptly notify the Group of any material breach or suspected breach.
